Plain-English summary. We only collect what we need to talk to you and run the LeadaLine service: your contact details, your business details, and any enquiry information you send through the website. We don't sell or share your data. You can ask to see it, correct it, or have it deleted at any time by emailing admin@leadaline.com.
1. Who we are
LeadaLine ("we", "us", "our") provides an AI-powered lead-capture and response service for UK service businesses. This policy explains how we handle personal data collected through our website at leadaline.com and through the LeadaLine AI Office Team when delivered to our clients.

2. What personal data we collect
From you, directly
- Booking and demo enquiries: name, business name, email, phone number, website URL, industry, estimated enquiry volume and any free-text message you send through forms.
- Calculator results: the email address you provide if you ask us to email your missed-call calculator results, plus the figures you entered.
- Voice-demo sessions: if you use the interactive live demo on our website, an audio transcript may be processed by our AI voice provider; transcripts are used only to power the demo conversation and are not retained by us long-term.
From your browser, automatically
- Technical data: IP address, browser type, device type, referring page and pages viewed. Used to keep the site secure and to understand at an aggregate level what's useful.
- Local storage: small flags we set in your browser (for example, to remember that you've dismissed the urgency banner or cookie notice). No personal data is stored in local storage.
3. Why we use your data (lawful bases)
- To answer your enquiry or run a demo — legitimate interest, or steps taken at your request prior to entering a contract.
- To provide the LeadaLine service to a client business — contract performance.
- To send a single follow-up email after you submit the calculator or booking form — legitimate interest. You can opt out at any time by replying or emailing us.
- To meet legal and regulatory obligations — legal obligation (for example, retaining invoices for the period required by HMRC).
4. Who we share data with
We do not sell your data. We share it only with carefully selected processors who help us run the service, under written terms that limit them to processing on our instructions. These fall into the following categories:
- Hosting and infrastructure — providers who host the website, our application backend and the storage behind it.
- Workflow automation — software that routes form submissions and lead alerts to our team's inboxes and CRM.
- Lead-tracking and reporting — internal database that stores active leads, run by us on a third-party platform, and used as the source for client dashboards and monthly reports.
- Email and calendaring — our team's email inboxes and the shared booking calendar.
- Voice AI — third-party voice-AI infrastructure used to power the interactive demo conversation on our website.
If any processor is based outside the UK/EEA, transfers are made under appropriate safeguards (UK adequacy regulations or the UK International Data Transfer Addendum to the EU SCCs). On request, we can provide the specific list of named providers we currently rely on — email admin@leadaline.com.
5. How long we keep your data
- Demo enquiries and calculator results: up to 24 months from your last interaction, then deleted or anonymised.
- Active client data: for the life of your contract plus 6 years for accounting and tax purposes.
- Live-demo voice transcripts: processed in-session and not retained by LeadaLine; check our voice provider's policy for their retention period.
6. Your rights under UK GDPR
You have the right to:
- Access a copy of the personal data we hold about you.
- Correct anything that is inaccurate or out of date.
- Ask us to delete your data (subject to our legal obligations to retain certain records).
- Object to or restrict our processing.
- Withdraw consent for any processing that relies on it.
- Complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies and similar technologies
This website does not currently set advertising or third-party tracking cookies. We use a small amount of browser local storage to remember things like whether you've dismissed an on-site notice; no personal information is stored there.
Embedded third-party content (for example, our booking calendar widget) may set its own cookies when you interact with it. We have no control over those — please see the relevant provider's privacy policy for detail.
8. Security
We use industry-standard measures to protect your data: encryption in transit (HTTPS), access controls on internal systems, and the security guarantees offered by our hosting and processor partners. No system is perfectly secure; if you believe your data may have been compromised, contact us immediately.
9. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of the page will reflect the most recent change. Material changes will be flagged on the homepage for a reasonable period.
